LEGAL
Terms and conditions.
These terms set out how you may use the Medimapper website, guided evaluations and subscriptions, and what you can expect from us.
Last updated 20 October 2026.
SCOPE
These terms apply to the website and to every Medimapper agreement.
These terms and conditions apply to the use of www.medimapper.world and to every quote, guided evaluation and subscription for Medimapper. Medimapper is provided by Stepstools BV, Goudbergstraat 29, 8560 Wevelgem, Belgium, company number BE0749.823.163 ("Stepstools", "we").
Medimapper is a service for businesses and public bodies. It is not offered to consumers. Your own general terms do not apply unless we accept them in writing. A signed quote or order form takes precedence over these terms where the two differ.
DEFINITIONS
Key terms used in this document.
- Customer: the organisation that requests an evaluation or takes out a subscription.
- Service: the Medimapper platform, API, MCP access, reports and exports, as described in the quote.
- Data: all product records, attributes, matches and other content made available through the Service.
- Subscription: the Customer's right to use the Service for the regions and the period in the quote.
- User: a person whom the Customer authorises to use the Service.
WEBSITE
The website gives general information.
Content on this website, including prices, coverage figures and examples, is for information only and is not a binding offer. It may change without notice. Our data and trade disclaimer applies to all information on the website and in the Service.
You may not copy the website or its Data systematically, for example by scraping, without our written permission.
GUIDED EVALUATIONS
An evaluation is a test, not a subscription.
Submitting an evaluation request does not activate a trial. We decide whether and how to run an evaluation and which products and markets it covers.
Results of an evaluation and the downloadable sample dataset are for the Customer's internal assessment of Medimapper only. They may not be shared with third parties or used in production. We provide them as they are, without any guarantee.
AGREEMENT
An agreement starts when you accept our quote.
Our quotes state their validity period. An agreement is formed when the Customer accepts a quote in writing, by signature or by email, or when we confirm an order in writing.
The Customer gives us correct and complete company details and tells us about changes. We may refuse or end an agreement if we cannot verify the Customer's organisation or if we have reasonable grounds to believe the Service would be used unlawfully.
TERM AND RENEWAL
Subscriptions run for twelve months and renew automatically.
Each Subscription starts on the date in the quote and runs for twelve months. It then renews for successive periods of twelve months, unless either party ends it by written notice, including by email, at least three months before the end of the current period.
PERMITTED USE
You may use the Data for your own business.
We grant the Customer a non-exclusive, non-transferable right to use the Service and the Data during the Subscription, for its own internal business purposes and for the regions it has subscribed to. The Customer may include limited extracts of the Data in its own analyses, reports and internal systems.
The Customer and its Users may not:
- resell, sublicense, publish or otherwise make the Data available to third parties as a dataset or service
- use the Data to build or improve a competing product or database
- extract Data beyond the agreed access channels or limits, or bypass technical restrictions
- remove references to sources or to Medimapper
- share access credentials or API keys outside the authorised Users
- use the Service in a way that breaks the law or the rights of others
ACCESS
The Customer is responsible for its credentials and Users.
The Customer keeps access credentials and API keys confidential and is responsible for all use made with them. The Customer tells us without delay if it suspects misuse. We may suspend access when we reasonably suspect misuse, and we will inform the Customer when we do.
FEES AND PAYMENT
Fees are annual, in euros and excluding VAT.
Fees are those in the accepted quote. They are in euros, exclude VAT and other taxes, and are invoiced annually in advance. Invoices are payable within thirty days of the invoice date unless the invoice says otherwise.
If an invoice is paid late, interest and a fixed compensation for recovery costs are due automatically and without notice, as provided by the Belgian Act of 2 August 2002 on late payment in commercial transactions. If an invoice remains unpaid after a reminder, we may suspend access to the Service until it is paid.
We may change our fees with effect from a renewal date. We will tell the Customer at least sixty days before that date. If the Customer does not accept the change, it may end the Subscription with effect from the renewal date by telling us before that date.
DATA AND AVAILABILITY
We compile the Data with care, but we cannot guarantee it.
The Data comes mainly from national and other external sources, which differ in scope, structure and update frequency. We take due care in collecting, structuring and maintaining it, but we do not guarantee that the Data is accurate, complete or current.
A match in Medimapper describes how product attributes align in the available data. It does not establish therapeutic equivalence, substitutability, regulatory approval or permission to trade, as explained in the data and trade disclaimer. The Customer remains responsible for its own decisions and for verifying material information against official sources.
We make reasonable efforts to keep the Service available, but we may interrupt it for maintenance, security or reasons outside our control. Unless a service level is agreed in writing, we do not guarantee uninterrupted availability. We may improve and change the Service, as long as the Customer keeps the substance of what it subscribed to.
INTELLECTUAL PROPERTY
Medimapper and its database remain ours.
Stepstools and its licensors own all intellectual property rights in the Service, its software, documentation and database, including the database producer's rights under Book XI of the Belgian Code of Economic Law. Nothing in an agreement transfers these rights to the Customer.
Rights in source data remain with the original sources. Where a source sets its own conditions of use, the Customer must respect them.
The Customer keeps all rights in the information it gives us, such as product lists. We use that information only to provide the evaluation or Service.
CONFIDENTIALITY
Both parties keep confidential information confidential.
Each party uses the other's confidential information, including quotes, product lists and non-public business information, only for the agreement, and does not disclose it to third parties except to advisers bound by confidentiality or when the law requires it. This obligation continues for three years after the agreement ends.
PERSONAL DATA
We process personal data as described in our privacy policy.
Our privacy policy explains how we handle the personal data of the Customer's contacts and Users. If the Customer processes personal data with the Service, it is responsible for doing so lawfully.
LIABILITY
Our liability is limited.
Our obligations are obligations of means. We are not liable for indirect or consequential loss, such as loss of profit, revenue, business, goodwill or data, or for decisions the Customer makes on the basis of the Data.
Our total liability under or in connection with an agreement is limited to the fees the Customer paid for the Service in the twelve months before the event that caused the damage. These limits do not apply to fraud, wilful misconduct, or liability that cannot be limited by law.
The Customer indemnifies us against third-party claims that result from use of the Service or the Data in breach of these terms.
FORCE MAJEURE
Neither party is liable for events beyond its control.
Neither party is liable for failing to perform because of events beyond its reasonable control, such as failures of networks or third-party services, power outages, natural disasters, pandemics, strikes or actions of public authorities. Payment obligations are not affected. If force majeure lasts more than sixty days, either party may end the agreement by written notice.
TERMINATION
Either party may end the agreement after a serious breach.
Either party may end an agreement with immediate effect by written notice if the other party commits a serious breach and does not remedy it within thirty days of being asked to, or if the other party becomes insolvent or goes into liquidation.
When a Subscription ends, access stops. The Customer stops using the Service and deletes Data exported from it within thirty days. Limited extracts already included in the Customer's own reports, and records the Customer must keep by law, may be kept.
CHANGES
We may update these terms.
We publish the current version on this page. For a running Subscription, a new version applies from the next renewal date, unless the Customer agrees to it earlier.
GENERAL
General provisions.
If a provision is invalid or unenforceable, the rest of the terms remain in force and the provision is replaced by a valid one that comes closest to its purpose. Not enforcing a right does not mean giving it up. The Customer may not transfer an agreement without our written consent. We may transfer it to a successor of our business.
LAW AND DISPUTES
Belgian law applies.
These terms and every agreement are governed by Belgian law. The United Nations Convention on Contracts for the International Sale of Goods does not apply.
The parties will first try to settle a dispute amicably. If that fails, the courts of Kortrijk, Belgium, have exclusive jurisdiction.
